Portal outreach
The number of sessions on the portal has nearly doubled in the last 6 months.
Partnership in progress
Negotiations with the following potential partners are ongoing:
- The Working Group of the European Union Diplomatic Archives (EUDiA)
- The Historical Archives of the EU institutions
- European Oil and Gas Archive Network (EOGAN)
- The Vatican Archives
- National Archives of Kazakhstan
Marketing and Communication Plan
A Marketing and Communication Plan which was originally a task within Work Package 8 as part of the business plan but is also an objective of WP7, is now under production. The plan has been subcontractedto Bureau Heidi van Damme and to PNO Consultants. A first outline presentation will be made at the ESC meeting in Turin on 4 November next.
Promotion and instruction movies
The production of a promotion video and instruction movies has been initiated. As indicated in newsletter #18 (August 2014), the promotion video will be produced by the Royal Technical University in Stockholm and the instruction movie by the Filmding Company in Breda, the Netherlands.
APEx final conference
The final conference of APEx will be held in Budapest on 7–9 September 2015 and the call for papers will be published shortly. Among other themes, the conference will celebrate the formation of the Archives Portal Europe Foundation.
APEx @ICA Conference in Girona (ES) – 13–15 October 2014
The 2nd annual conference of the International Council on Archives was held in the Spanish city of Girona from 13–15 October. At the same time, the 9th and Research Seminar were held. More than 850 delegates, speakers and visitors from countries all around the world participated in this event which was probably the most important conference on archives in Europe this year. Similar to the European Conference on Archives in Brussels (BE) last year, the APEx project and the Archives Portal Europe were presented by a dedicated team with a stand and a presentation in the programme.
The APEx team at the stand comprised APEx WP4 Leader Susanne Waidmann, the Swedish Country Manager Martin Bjersby and the IT System Coordinator of the Spanish State Archives and member of several APEx Work Packages, Luis Castrillo. They were kindly supported by local archivists, the Vice Director and the Head of Reprography at the Aragon Crown Archives, Alberto Torra and Ramon Pujades. In addition to contact with European archivists, other APEx members and potential new content providers, the APEx team in Girona had the occasion to share the APEx concept with other archival communities such as Ibero-American, African and Arabic countries.
In addition, WP4 members Karin Bredenberg from the Swedish National Archives and Silke Jagodzinski from the German Federal Archives held a presentation on the Archives Portal Europe and its work with international archival standards devised by the ICA. The text of the presentation “Archives Portal Europe – A Challenge of Harmonisation and Outreach” is available in our articles section on the project website.
With the stand and the presence of active project members, the APEx project had an outstanding presentation and promotion for the Archives Portal Europe. Not only listed as a sponsor of the conference but also as a meeting point for associated archivists, content providers and interested people, the APEx stand became one of the places to be at this conference.
With this in mind, the whole WP7 team would especially like to thank Luis Castrillo and his local team for the excellent organisation in Girona. Together with Susanne Waidmann and Martin Bjersby, they spent three exhausting but nice days promoting the portal – muchas gracias!

Two new interesting articles were recently published on the project website:
Eddy Put: “What's in a Title? — Aboutness versus Intellectual Form in Archival Description”
Belgian archivist Eddy Put focuses on the tradition of archival descriptions for certain material. Using the example of early modern archives, he discusses the possible options and benefits of the description of the intellectual form of archival material for users.
Ana María López Cuadrado: “Working on European archival information system linking encoded data — the Census-Guide to Archives and EAG, a common history”
A new text about the usage of international archival standards and exchange formats in order to establish and maintain a national and international archives portal is described by the Spanish archivist and APEx WP4 member Ana María López Cuadrado. She explains the formulation of the Census-Guide for Spanish and Latin American archives from the 1980s and the Spanish archives portal, the Portal de Archivos Españoles, both of which have had a major impact on the development of the Archives Portal Europe.
